Job Summary
Responsible for general supervision and management of care staff while also coordinating scheduling, training, documentation, supply management, and other operational tasks. The role serves as a bridge between clinical care and administrative support, ensuring the efficient and effective operation of the Assisted Living neighborhood.
Essential Functions
- In conjunction with Director, responsible for management of Assisted Living staff.
- Coordinate Care Associate shifts, arrange coverage for call-outs or emergencies, and communicate schedule changes to management.
- Provide support to the Assisted Living Director with administrative tasks such as communication, record-keeping, payroll, and general office and organizational duties.
- Assist with managing agency staff contracts, including tracking expiration dates and determining when new contracts are needed.
- Perform time keeping edits, exceptions, and approval for bi-weekly payroll cycles.
- In coordination with the Assisted Living Director, support the onboarding of new employees by scheduling interviews, training shifts, New Associate Orientation, and providing access to email and timekeeping systems. Ensure new hires are educated on nursing policies and procedures.
- Maintain and report on staff education hours through the Relias system, ensuring compliance with required training programs.
- Track staff license and certification expirations and renewals.
- Assist with resident transportation requests and track work orders.
- Assist in scheduling meetings, staff training, and in-service sessions.
- Act as a liaison between clinical staff and leadership, communicating necessary changes or suggestions in operations.
- Order office and medical supplies for Assisted Living, ensure inventory is updated, and ensure supplies and equipment are stored and maintained properly.
- Check invoices, purchase orders, and packing slips to ensure correct departmental allocation of received supplies, in accordance with budget guidelines.
- Use sound judgment to solve moderately complex problems, adhering to Casey’s Pond Employee Associate and Behavioral Code of Ethics.
- Perform other duties as assigned, ensuring compliance with HIPAA and other regulatory guidelines.
- Share On-Call and Manager on Duty responsibility as required.
Education and Experience
- Graduate of an accredited nursing program desirable.
- Proficient in Microsoft Office and experience in EHRs desired.
- Proven ability to manage staff and knowledge of managing a budget.
- Must have excellent interpersonal and communication skills required for interacting with residents, guests, and fellow associates.
- Must have the ability to handle multiple tasks and priorities and have excellent time management and organizational skills to meet deadlines.
- Self-motivated, organized and professional. Have a neat, professional, courteous manner and appearance.
- Must be able to read, write and speak the English language.
Licenses/Certifications
- CPR certification preferred

- Ability to stand, walk, sit, feel, reach, bend, stoop, crouch, talk, hear, and see.
- Ability to lift, carry, push, and pull up to 50 lbs.

$57,000 - $68,500 per year dependent upon experience
